1. Terms of Booking & Booking Deposit
A place on a course can be booked by completing the application form on the website. By placing a booking with us the student agrees to the following terms and conditions as set-out below. If you have any questions, please contact us before making a booking.
To place a booking the student must be at least 18 years of age, unless otherwise agreed.
To secure any booking we require a deposit to be paid in advance. This deposit amount is £300.00 and is non refundable. Deposit payments must be 'cleared funds' before a booking can be confirmed.
Any outstanding balance fees are due eight weeks before the start of the course. If the balance fee is not received by the due date the reservation will be deemed to have been cancelled and Fresh Tracks reserves the right to offer the place to another student on the waiting list. Balance payments are only refundable under the conditions set-out below.
Payments can be made online or via bank transfer. Any charges raised against us by our banks for handling dishonoured bank transfers or any other payments, must be reimbursed by the student within seven (7) days of any request to do so.
2. Cancellation, Returned Deposit & Non-Arrival
Students who need to cancel a booking should contact us as soon as possible. Monies already paid are only returned in accordance with the following conditions;
Cancellation made 8 weeks or more in advance of arrival date = Balance refund, minus deposit.
Cancellation made 8 weeks or less of arrival date = Balance refund minus deposit, only if all places on that week are sold.
Cancellation made 4 weeks or less of arrival date = No refund issued, full amount of booking due.
A deposit can be transferred on to another course but it is not transferable from student to student. The above charges are to cover time and loss of earnings due to students plans changing, which is no fault of Fresh Tracks.
Non-arrival students who are unable to attend, or fail to attend for whatever reason, forfeit their deposit paid and the full amount of the booking will be due. Students are advised to take out their own insurance against cancellation for any reason outside their control.
Fresh Tracks reserves the right to cancel (as a last resort when faced with unavoidable circumstances) and/or make any alterations to courses, dates, fees and accommodation where necessary, at our discretion. All enrolled students will be notified immediately of any changes. In the rare event that we do need to cancel your booking with us, a full refund of any payments will be made, but we cannot be held liable for any other costs already incurred, such as travel expenses.
Fresh Tracks requires a minimum of 4 students per week for the course to run. If less than 4 students are booked onto a course then we will offer the student the option to attend a course on a different date or where this is not possible a full refund of any payments already made will be given.
3. Check-in & Check-out
Students must check-in and check-out by the times stated below;
Check-in from: 5:00pm on day of arrival, unless otherwise agreed.
Check-out by: 2.00pm on day of departure, unless otherwise agreed.
4. Rooming & On-Site Facilities
On booking students will be invited to indicate a preference for sharing a room or private occupancy. Private rooms are limited by availability and are on a first come basis. If sharing, the maximum number of students per bedroom is 2 and are single sex. Their may be a requirement for bathrooms to be shared with other students.
Only the student is allowed to use the property and its facilities, any third party visitors are only allowed access at our express permission.
All students agree to respect the privacy and peace of all other staying guests and students, neighbours and the owners at all times. We reserve the right to cancel a booking with immediate effect if students are not honouring this agreement or causing a disturbance / nuisance to other students, neighbours or the owners.
5. Damages & Lost Property
Students are expected to report, and where appropriate pay for any damages caused during the course. This includes, but is not limited to, breakages, spillages, stains, damage to furniture or fixtures and fittings. Any accidental damages should be reported as soon as possible in order to minimise damage and associated costs. Lost keys will incur a replacement charge per key lost.
Any lost property, if discovered and found, left behind by students during a stay will be held for a period of 1 month. While we will make our best efforts to reunite lost property with their owners we accept no responsibility in replacing lost items and encourage students to ensure they have all their belonging before checking-out. We may offer to post lost items via recorded delivery at the cost of the property owner, otherwise collection can be arranged.
Property belonging to students is brought to Fresh Tracks at their own risk and Fresh Tracks accepts no responsibility for any loss or damage. Fresh Tracks does not accept liability for personal injury except as imposed by statute. Fresh Tracks does not accept responsibility for any injury to any student when not on the property.
6. Chalet Behaviour Rules
Fresh Tracks has a number of chalet behaviour rules which are enforced in the interests of students’ health and safety and are made explicit in full upon the students arrival.
Students booked on to the course are expected to take an active part in all of the lessons. In the interests of all the students we ask that participants bring a positive attitude to learning. It is understood that every student is aware of the content and purpose of the course as outlined on the website.
Fresh Tracks reserves the right to terminate the training of any student without reimbursement of fees if the student is guilty of unreasonable or improper conduct, or breach of chalet behaviour rules.
The consumption of alcohol during the course is not prohibited, but it is expected that all students are in a fit state to carry out the course activities in a safe and productive manner. Excessive drinking, and the use of illegal drugs are not permitted at any time, and if students are thought to have been involved in these activities their course will be terminated immediately. Fees will not be reimbursed under such circumstances.
If a student leaves during a course fees will not be reimbursed.
7. Health & Safety
Appropriate provision is made for the safeguarding of students under the age of 18 within the organisation and accommodation provided. There is a safeguarding policy in place, which specifies procedures to ensure the safety and well-being of all students under the age of 18. A code of conduct policy and training is provided for all staff dealing with students.
For safety reasons students are supervised during cooking sessions. When working in the kitchens students must wear appropriate clothing, including long trousers and comfortable non-slip shoes with covered toes. Long hair should be tied back and jewellery (rings/bracelets) should be removed.
Students must advise Fresh Tracks of any dietary requirements, food allergies or religious beliefs that may affect their eating behaviour. Fresh Tracks is unable to tailor our course content for special dietary requirements but will make arrangements, where possible, to enable students to take part in a course.
8. Future Employment
It is understood by the student that booking on the course is not a guarantee of a subsequent job. Whilst we will make every effort to assist students in obtaining employment in suitable roles, this cannot be guaranteed as for any other training or qualification. In order to gain employment students will need to show initiative, be self motivated and work hard.
9. Other Activities
We accept no responsibility or liability for activities undertaken in students own time during the course. Students take part at their own risk. Any leisure activity of choice undertaken by the student with a local leisure providers is chosen and paid for separately by the student and all liability is undertaken with the leisure provider.
10. Wi-Fi Usage Policy
Where WiFi Internet access is provided, students accept to use this access to the Internet fairly and appropriately. We may monitor network performance and user usage in order to maintain a fair and high level of service to all our students.
The Internet access provided is intended for general use such as access to the world wide web, email, messaging, social media, light video / music / media streaming. It is not intended or ideally suited for heavy media streaming, online gaming, extensive downloads / uploads. Access to illegal activity or use of our network for illegal activity is prohibited and may be reported to local authorities.
11. Smoking & Vaping
Smoking, vaping of use of any tobacco products including but not limited to cigarettes, snuff, snus or chewing tobacco, is only allowed in designated areas and is in accordance with the Health Act 2006.
12. Parking
Where on-site parking is provided students accept that they park their vehicles at their own risk.
13. Photographs
By attending Fresh Tracks students agree that we may use photographs taken during the course for promotional purposes. If students prefer not to be included in these images, they are required to let us know in advance.
14. Your Personal Details & Privacy
We are required to keep a register of students over the age of 16 who stay with us, this includes full names and nationality, and/or passport numbers, place of issue, details of next destination if they are non-British, Irish or Commonwealth students. This is in accordance with the (Immigration (Hotel records) Order 1972). These records are kept for a minimum of 12 months and in accordance with the DPA (Data Protection Act 1998) and the GDPR (General Data Protection Regulation).
Our policy surrounding the personal details you provide as part of any booking or enquiry through this website, including the privacy of those details, are explained and set out in our Privacy Policy which you can read here.
You accept that any entries you make to an on-site guest book, if available, will not contain personal information or details you would not want disclosed. Any entries containing personal details that may fall into the DPA and GDPR may be removed and destroyed.
